India has thousands of registered exporters. Quality and reliability vary enormously. This 12-step framework helps identify trustworthy partners.

The 12 Steps

1. Verify APEDA Registration

Search apeda.gov.in exporters directory. No APEDA = cannot legally export agricultural products.

2. Check FSSAI License

Search foscos.fssai.gov.in by 14-digit number. Must be Central license (not basic/state).

3. Search Trade Directories

Check IndiaMART, TradeIndia, Alibaba profiles and reviews.

4. Request Documentation

Ask for: incorporation certificate, GST, IEC code, APEDA cert, FSSAI license, ISO/HACCP certifications.

5. Request Samples + COA

500g–1kg samples with NABL-accredited Certificate of Analysis.

6–8. Online Reputation, References, Trial Order

Google the company, ask for 2-3 client references, start with 1-5 MT trial shipment.

9–12. Inspect Delivery, Check Payment Terms, Consider Factory Visit

Verify product matches sample, use LC for large orders, visit facility for ongoing partnerships.

Red Flags

  • Prices significantly below market (“too good to be true”)
  • Reluctance to provide APEDA/FSSAI docs
  • No physical address or LinkedIn presence
  • Pressure for full advance via wire transfer
  • Website uses only stock photos with no real facility images

Certifications Decoded: What Each One Actually Proves

Indian suppliers often list 5–8 certifications on their website. Not all carry the same weight. Here is what each actually confirms — and what it does not:

The Right Questions to Ask Before Your First Order

Most supplier fraud and quality failures can be prevented by asking the right questions at the inquiry stage — before any money changes hands. Use this checklist:

  1. What is your APEDA registration number? (Verify at apeda.gov.in)
  2. What is your FSSAI Central License number and expiry date? (Verify at foscos.fssai.gov.in)
  3. Can you provide a NABL-accredited COA for a recent batch of this product, including pesticide residue, moisture, and aflatoxin?
  4. Which farm regions does your product come from? Can you trace to district level?
  5. What is your QC process — incoming, in-process, and final inspection?
  6. Can you provide 2–3 references from buyers in my target market (EU/USA/UAE)?
  7. What incoterms do you offer? Can I use my own freight forwarder?
  8. What are your payment terms for a first trial order?

A supplier who hesitates or deflects on any of the first three questions should be eliminated immediately. Answers to questions 4–8 reveal experience, transparency, and commercial flexibility.

Understanding Indian Pricing: Why the Same Product Varies 40%

A common frustration for first-time Indian importers: the same product — say, cumin seeds, Europe Quality, 99.5% purity — can be quoted at prices varying 30–50% across different suppliers. This is not fraud; it reflects several real factors:

  • Harvest year vs stored stock: New crop commands a premium; old stock stored for 12+ months is cheaper but may have volatile oil degradation
  • Testing depth: A COA covering 200 pesticide compounds costs significantly more than a basic 20-compound screen. Suppliers absorbing third-party testing into their cost will quote higher
  • Processing standard: Machine-cleaned vs sortex-cleaned vs hand-picked delivers different purity levels at different costs
  • Incoterms: FOB quotes are always lower than CIF quotes for the same product — compare on the same Incoterm basis only
  • Minimum quantity: A 500kg trial order will always cost more per kg than a 5 MT order from the same supplier

The lowest quote is rarely the best value. Request COAs alongside pricing, compare on equivalent Incoterms, and factor in the cost of a rejected shipment when evaluating price differences.
